Pocono Township is seeking a qualified applicant to serve in a full-time position as an Administrative Assistant. This position reports directly to the Township Manager.
Job Responsibilities:
- Provide professional administrative support to the Township Manager and other department heads, as necessary. Strong organization, planning and customer service skills are required.
- Prepare agendas, compile supporting documents and record minutes for meetings of the Township Board of Commissioners and Planning Commission.
- Maintain minutes, resolutions and ordinances for the Township.
- Work with Land Development Plan applicants throughout the entire land development process, coordinating professional review of all plans with the Township Engineer and Solicitor for completeness.
- Ensure approved Land Development Plans obtain all necessary signatures and are appropriately signed, sealed and dated. Confirm plans are properly recorded by the County and filed with the Township.
- Respond to public inquiries proactively, informing individuals of Township rules and regulations; explaining procedures; receiving complaints; and referring individuals to the responsible official or individual for resolving issues.
- Advertise public notices and other items as directed.
- Maintain and dispose of Township records in accordance with municipal record retention laws and regulations.
- Maintain Township files and records, including property files, land development plans and contracts.
- Assist the public with permit applications and provide administrative support to the Township Zoning Officer.
- Complete and maintain notary education and license (at the Township’s expense).
- Write and respond to letters as directed by the Township Manager.
- Draft content and post to the Township website and social media platforms as directed by the Township Manager.
- Assist in the preparation of the regular Township e-newsletter.
- Organize and update various Township databases as needed.
- Provide coverage for office personnel when absent from work.
- Coordinate special projects as assigned by Township Manager.
- Other duties as assigned by the Township Manager.
Minimum Requirements to Hold Position:
- Two-year Associates degree in a related field is preferred.
- Three years of experience in municipal government, or related clerical, administrative, management or business field.
- Knowledge of the principles and practices of local government. Understanding of the First Class Township Code and applicable laws, administrative practices, township ordinances, rules and regulations preferred.
- Must have strong communication skills, both written and verbal.
- Must possess customer service and time management skills.
- Candidate should possess excellent computer skills, including all Microsoft Office programs, and ability to operate municipal permitting software.
- Self-motivated and able to complete job functions without supervision.
- Ability to work as a team player in a dynamic office environment.
